Watching SOHSET all these years has been inspirational, awesome, exciting, humbling and all the other good adjectives that keep me involved. It makes me proud to see how the District pulls together for every activity. The auction was excellent you all need to take a moment to pat your backs for a job well done. We owe Sherry and Betsy for this one. Registration went well, everyone is registered, Sherry worked so hard and you all made this a success. Lanny has us set up with a great web site that will be a god send for communication this year. Marritt has put our books in order with a program that will carry forward from year to year. The season is just around the corner and we have already accomplished so much.

Sunday Briefing

Insurance Update:

I am preparing the insurance information for the coming year AND getting a quote from a new company to make sure that our insurance is the right coverage at the right price. This should be done every few years to ascertain that we are getting the value for our investment. Remember, we have a great claim record and that should account for some lower costs now and in the future.

Our Dishonesty Bond (official name) has been issued and is in effect. This was not a hard assignment and the premium is only $100 per district for three years coverage!! Very good deal for the peace of mind. I will be going over this at the SB meeting in December but for now, you will be invoiced through Mike Ballini for your coverage. This job is done. Our State and Districts are now covered for up to $100,000.00 against loss.

Plans for the Open Meeting are falling into place. As you know we did vote to have it once again in McMinnville. These folks are so wonderful to work with and I understand they have completed a lot of the work that was started last year when we were there.

The following is the tentative plan:

State Board Meeting – 9:00 a.m. Separate Meeting Room above the arena

Open Meeting – 10:30 a.m. Large Open Area (same as last year)

Committee Reports

Raffle Explanation, if necessary

Rule Book Distribution

Break for Lunch – Several local fast food places or bring your own

              Patterns will be shown and discussed with movie screen and transparencies.

              CD Presentation of the Drill Maneuvers

              Adjourn

Please note: There will be no live demonstrations of patterns this year. We have not rented the arena and there will be an event going on in the arena during the meetings. Please pass this word to everyone as we will want undivided attention during the Open Meeting with no distractions.

ACCOUNTING:

We want to thank Carolyn Ryder and Mike Ballini for the treasurer’s workshop. Carolyn did do a report for me which included the items that were discussed. It is the OHSET goal that this workshop answered the many questions that our district treasurers have but also that it stressed why it is so important that we get the information we need in order for us to meet the government requirements. Thank you to everyone who participated.

RULES COMMITTEE:

Diana reports that the rulebook in the new format will cost no more than $10 each. With that in mind, we will recall that the vote at the SB meeting was that we would try the new format this year and look for sponsors to help defray the costs, since this is now possible. PLEASE MAKE SURE THAT YOU HAVE YOUR ORDER FOR RULEBOOKS INTO DIANA THIS WEEK. I BELIEVE WE ARE ALREADY PAST HER REQUESTED DEADLINE . The orders go in very soon so you do not want to be left to downloading your district rulebooks off the web.

DONATIONS.

LINDA CRAWFORD HAS AGREED TO SEND ALL THANK YOU NOTES AND TAX DONATION
LETTERS TO OUR DONATORS. REMEMBER IT IS VERY IMPORTANT THAT ALL DONATIONS ARE
TRACKED THROUGH HER AS IT WILL HELP US IN YEARS TO COME WHEN WE NEED TO FIND
OUT WHO HAS DONATED IN THE PAST. WE KNOW ALL YOU COACHES ARE VERY BUSY, THIS IS
AN AREA WHERE A PARENT CAN TAKE CHARGE OF YOUR DONATIONS AND GET THIS INFO TO

I have scheduled a meeting for Oct. 22nd, 2:00PM @ Jackson County Expo, I am working on a room, Dennis Smith can you help me out there.

This meeting is on the heels of OHSET's meeting scheduled for Oct. 21. Peggy, Sherry R., Sherry S. and I will attend which makes a very busy weekend for us. If you can not make the meeting draw from your ranks and please have someone to represent your school. I am asking Peggy Smith to find an athlete from Klamath County to represent our SOHSET youth at this meeting. I expect our youth to meet Oct. 22nd and inform the board how they will represent SOHSET youth at State Board Meeting for 2007.

This meeting is "Important", Sherry Smith will provide further information for our Auction Nov. 18th @ Grants Pass H.S. She has already sent information and I hope you are all working on auction items.

Sherry Roberts will present SOHSET dates for registration and hand them out.

Marritt will provide a financial report and distribute our new mailing address which is a P.O. Box in Eagle Point.
